Meeting Minutes
July 27, 2010    DRAFT

Present: Chip Cobb, Fred Mellish, Edith Stillson, Ernie Shand, Cookie Shand, Sandy Chase, Jeff Slade and Lisa Sargent

1. Approve minutes from last meeting: Edith Stillson motioned to approve the minutes dated June 29, 2010, Fred Mellish seconded the motion. Lisa Sargent noted that it appears they may be some minutes from May in with these. Edith Stillson withdrew her motion and Fred Mellish withdrew his second. Chip Cobb asked to have deForest Bearse review them and make necessary corrections.

Mr. Cobb noted that on December 1, 2009 a motion was made to reimburse Dan Barbour $300.00 for expenses he incurred while removing the rocks for us however, the expenses totaled $318.48. Jeff Slade made the motion to approve an additional $18.48 for a total of $318.48. Edith Stillson seconded the motion which passed unanimously.

2. Inscription on monument and 3. Names of veterans: Mr. Cobb noted that privacy acts are preventing the State from making names of those that served public. He has written to the State telling them we are doing this memorial and asking for their help in releasing names to us.
Cookie Shand gave a book of Weathersfield to Chip that has some names in the back in hopes it will be helpful.
There was discussion on how to list the names, if the names should be engraved in the monument or put in a book like we have discussed previously. Jeff Slade said maybe we could put the names on witness stones.
Chip Cobb said he has asked Wes Hazeltine, Jeremy Osgood and Aaron Fitzherbert to get together and work on the pad to determine how big that needs to be.
Fred Mellish said he likes the idea of putting names on the columns of the monument. Chip Cobb said he would ask Aaron Fitzherbert to think about what he thinks would work best and give his recommendations. Chip Cobb said we have to keep the Right-of-Way in mind if we add witness stones because there isn't a lot of room to work with in the area where the monument is going.
Ernie Shand asked if we were going to list names of those that served but received a Bad Conduct Discharge, Chip Cobb said that has not been addressed but needs to be.

4. Identify representative to education component planning group: Chip Cobb said Gloria Ballentine from the School Board will be the representative; Steve Walasewicz is the alternate representative. Cookie Shand said she met the new principal and told her to expect a call or visit from Chip Cobb regarding the monument. It was decided that Chip Cobb and Cookie Shand will meet with the new principal to have the first conversation.

5. Comments from Citizens: A date for the chicken bbq was discussed; it was decided to have it October 2nd (instead of waiting for Columbus Day weekend). And, Lisa Sargent recommends cutting back to 100 chicken halves (instead of 125) as there have been left over for the last two years.

6. Adjournment: At 7:58 p.m. Jeff Slade made the motion to adjourn. Edith Stillson seconded the motion which passed without dissent.
