Meeting Minutes - APPROVED
August 31, 2010

Present: Chip Cobb, Fred Mellish, Edith Stillson, Ernie Shand, Cookie Shand,, Jeff Slade, deForest Bearse and Lisa Sargent

1. Approve minutes from last meeting - July 27, 2010: Fred Mellish motioned to approve the minutes dated July 27, 2010. Edith Stillson seconded the motion and all were in favor.

2. Resolve bill for stone removal services: There are still questions regarding the amount of money the Committee owes Dan Barbour for his removal of the stones from the quarry. The Town has paid $318.48 thus far. Chip asked that the bill be returned to Aaron, who should resolve the questions with Dan. Aaron should then let the Committee know the final amount due, if any.

3. Names of Veterans: Due to the passage of the Privacy Act, we will be unable to obtain veterans names (post Vietnam era) from Senator Sanders' office. We will therefore have to rely on publicity and word of mouth to complete our list. Clearly the names will not be on the monument in time for the dedication ceremony and this task may, in fact, take years to complete. The Committee, however, is ready to begin the task. The first step will be to get the names Fred already has (approximately 200) into a database. Chip and Fred will work together to get this done. The Committee will advertise in the newspaper, on SAPA TV, in the Weathersfield Friday School Notices and perhaps with posters around Town to obtain additional names. We are requesting the names of anyone who enlisted in any branch of the U.S. Military while a resident of Weathersfield. A contact name and number was not decided upon at the meeting.

4. Update from Aaron:
Chip has received an email from Aaron who says he is unable to work due to a back injury. He is behind schedule, but he has hired someone who will help him rough out the flame stone and should be back on schedule in about two weeks.

5. Chicken Barbeque:
The barbeque is scheduled for October 2nd. Jess Slade made a motion to spend no more than $500 on supplies for the barbeque. Edith Stillson seconded the motion and all were in favor.

6. Comments from Citizens: None.

Other Business:
Cement Pad - Chip would like to move ahead with installing the cement pad for the monument. Westley, Jeff, Aaron and Jeremy Osgood will be working on it.

Flag - There is a flag flying on the newly restored flag pole on the former Ascutney green. The flag has been donated by Nathalie Whitney. It flies 24/7 and is illuminated by a solar light. Chip asked everyone to have a look at it to see if the light is correctly positioned to fully illuminate the flag.

Expenditures - the Committee has spent $3600 to date. There is $12,000 in the account. We have spent $14,000 from the grant.

Leftover stone - It was recommended that the Shands are ask if the Committee would be willing to donate some of the left over stones to make a bench in memory of Danny Shand and in honor of all veterans who were also members of the Ascutney Volunteer Fire Department. Questions that arose in the discussion were: how many stone slabs are left? how much boulder is left? and how much money would it cost to cut the remaining boulder into slabs?

Jeff Slade made a motion to donate sufficient stone slab to make a bench per the Shands' request. Edith Stillson seconded the motion and all were in favor. Cookie clarified that the Committee is donating stone only - no labor.

Mormon Church Project - The Mormon Church in Ascutney will be painting the posts around the Perkinsville Green on September 18, 2010 at 9AM.

Dedication Ceremony - Mr. Dube and the State Chaplain will not be attending the dedication ceremony. Cookie Shand, Gloria Ballantine and the new Weathersfield School Principal are the committee for the educational component of the memorial. Chip has made a presentation to all of the Weathersfield School teachers about the project. The teachers have begun teaching material as a lead-up to the ceremony on Veterans Day. The school kids will be bused to the ceremony and will take part in it in some way as yet undetermined. The ceremony will start at 10AM so the children have time to get there. It should only last an hour. Cookie will draft a schedule of events for the ceremony.

Still to be determined are: invitations, logistics, parking/traffic control, podium/microphone, press coverage, and more.

Inscription on the Monument - this will need to be decided at the next meeting.

The Committee will meet again on September 14th to discuss the agenda for the dedication ceremony.

At 7:23 PM Lisa Sargent motioned to adjourn the meeting. Fred Mellish seconded the motion and all were in favor.
