Veterans Memorial Committee Meeting Minutes September 28, 2010
Present: Chip Cobb, deForest Bearse, Aaron Fitzherbert, Gloria Ballantine, Edith Stillson, Jeff Slade, Lisa Sargent, Ernie and Cookie Shand, Jim Mullen, Fred Mellish
1, 2. Dedication Ceremony Planning Chip has compiled a checklist of key items for the dedication ceremony. Discussion and resolutions are as follow: • Invitations - decided against sending any. • Addresses of people to send an invitation - see above • Dedication bulletin - (history of effort, schedule of event, bios if available) - deForest to create; possibly Doolittles to do the printing or contact Sally Harris for cardstock paper and make 11 x 17 posters in-house • Tent - to be donated by Jeff Eaton; will wait until 24 hours before the event to make decision as to whether or not to put it up; will depend on Jeff's level of flexibility • Chairs - Gloria Ballantine has made arrangements for chairs to come from the Grange and the Church; the chairs will be brought by pick-up trucks to the green the morning of the event • Tables and Table Cloths - a table will be needed for the photographic display that Lisa is working on; to place roster sheets and guest book, and water • AC power access on/near Green - there is an outlet on the west side of the Green at the mid-point; Gloria assured the committee that the outlet is in good working order; we will need extension cords, however • Music - Cookie, Gloria and Chip will meet with Bill VonGillern to make the final plans for music • Lectern with public address system - Gloria will ask the School Board if we can borrow the school's • Reception set-up - Lisa is handling this; set up of the Green will happen early Thursday morning by members of the Committee • Trash barrels and clean up - Fred will provide a large trash barrel to place on the Green • Car control - Chip is working with the Fire Commission to provide car control; the Police Chief and both deputies will also be available • First Aid - Fire Commission • Escorts - the Committee members will escort people to their seats and hand out programs • Porta johns - the Church has offered use of the Church rest rooms • Press - Flier (see attached) and/or announcements will be sent to Rutland Herald, Valley News, SAPA TV and the Eagle Times • Make display of pictures - Lisa is still working on this • Dan Kelin for invocation - he will also give a short speech • Other speakers - Chip Cobb and Ernie Shand • Info on Weathersfield Website - deForest will place announcement on the website • Schedule of Events - see attached • Concrete pad - DONE • Inscription - Fred Mellish made a motion to accept the words "Freedom is ours because they have carried the torch proudly, Dedicated to Weathersfield Service members WWII to Present". Gloria Ballantine seconded the motion and all were in favor. • Reserve Church - DONE (thanks to Gloria Ballantine) • Contact Grange for parking - DONE (thanks to Gloria Ballantine)
3. Approve minutes from last meetings - August 31, 2010 - Jeff Slade made a motion to accept the minutes of August 31st with corrections. Edith Stillson seconded the motion and all were in favor. September 14, 2010 - Jeff Slade made the motion to accept the minutes of September with correction. Lisa Sargent seconded the motion and all were in favor.
4. Chicken Barbeque - planning for this event is complete.
5. Resolve bill for stone removal services - Aaron said Dan Barbour was satisfied with the payment the Committee has made.
6. Comments from Citizens
Other - Aaron said that the monument will be 90% complete and on display the day of the barbeque. He will be working on it during the monument and offered to let anyone who wished to do so, do a bit of chiseling on the monument.
Aaron said there are two complete boulders left over in Barre. He was asked to find out if the company in Barre would be willing to hold onto the stones until we know how much money we have left. If we have enough, we'll pay to have them cut into slabs for future use. Aaron also has several smaller pieces still on his truck. His is looking for a place to dispose of them. Chip referred him to the Town garage.
Aaron submitted a bill of $4457. It is the balance due on the stone cutting. Jeff Slade made the motion to approve paying the bill in the amount of $4457. Edith Stillson seconded the motion and all were in favor.
Fred now has the roster of names in a computer database organized by era of service. We will continue adding to it for now.
Peter Korbet has made a full-size drawing/painting of the monument and has it posted on his front lawn. He approached Chip during construction of the concrete pad and asked Chip to have it placed on the base when the base was done. Chip asked the group if they wanted this done. The group said no.
Next agenda item - who is "officially" on this committee?
